Keeping inventory accurate across multiple Shopify stores
Shopify tracks inventory per store. If you sell the same physical stock through two or more stores, each store believes it owns all of it, and the first two customers who buy the last unit both get a confirmation. This is how overselling happens.
1. Pick one source of truth
Decide where the real count lives, one master stock per physical item, and treat every store's count as a view of it. Changes flow from the master out to the stores, not the other way round.
2. Log every movement
Do not edit a number; record a movement: received, sold, cancelled, returned, adjusted. When a count looks wrong, the history tells you why. Without it you can only guess.
3. Decide when stock is deducted
Deducting at order placement is simple but reserves stock for orders that never ship. For cash-on-delivery, deducting when an order is confirmed usually matches reality better. Pick a rule per store and apply it consistently.
4. Handle returns deliberately
Returned parcels should not silently add stock back. Verify the item, then restock, so a wrong or damaged item does not inflate your count.
5. Reconcile regularly
Count physical stock periodically and record the difference as an adjustment with a reason. Small regular corrections beat a large surprise.
